Employee Garrison provides you an option to add different leave policies.

Leave policy is essentially grouping of different leave types & rules for accrual, carry over etc against each of these leave types. When you have different policies for different set of users, you would end up having multiple leave policies in Garrison.

e.g. leave policies for two offices in different geographies, leave policies for contractual & permanent employees etc

  • Navigate to manage option from leaves in left navigation.
  • A default leave policy is already added at the time of installation, which is applicable to every new user you add to the instance. (Of course you can delete or edit this leave policy)

  • To find more details of about the policy, click on action button and navigate to the each option for more details.
  • Click on any of the first three options to modify/view leave policy.

This section shows basic details of the policy. 

  • Name: Name of the policy.
  • Description: Description, guidelines of the policy.
  • Renews on: Renewal date of the policy. This date will be considered for calendar year calculations. For example, if your leave calendar calculations are closed on 31st December - your renewal date will be 1st January. If your leave calendar calculations are closed on 31st March - your renewal date will be 1st April.

If you make any changes in exsiting details, click on save button. 

Types

By default you will find a few leave types in the system, but you are free to create new ones. Below listed are the attributes of a leave type.

  • Type: Leave type
  • Allowance: Maximum leaves allowed for the certain type of leave. This is the maximum number of accrued leaves in a leave calendar year.
    • e.g. let us say you have a policy in your org that says - 4 leaves are accrued every quarter but the maximum number of leaves should not be more than 15. In that case your accrual would be 4 days/quarter and allowance would be 15 days. In the first 3 quarters, 4 leaves each will be accrued (total = 12 days) & in the last quarter only 3 leaves will be accrued (not 4) since allowance is 15 days.
  • Accrual: Leaves to be accrued on a given frequency.
    • e.g. if your leave entitlements happen annually, you will just say e.g. 10 days/year
  • Pro-rata: Pro- rata should be true or false.
    • e.g. if the number of leaves accrued should depend on when the user joined a certain policy, this should be set to true. If you want to allocate leaves irrespective of user's policy joining date
  • Carry over: How many leaves can be carries over/year at the time of policy renewal
  • Paid?: Whether leave type is paid or unpaid
  • Color code: Color code for each type of leave.

Manage leave types: 

  • In this section you can add new leave types or edit existing once. 
  • You can enable or disable a leave type (if a leave type is already in use).
  • You can also delete a leave type (only if a leave type is not in use).

  • This section of leave policy page enables you to add or remove employees from the policy. Depending on the nature of the policy you can add different set of users to policy.
  • One employee can be enrolled in only one leave policy at a given point in time. If an employee who is already enrolled in one policy and you enroll her again to some another policy, she will be automatically removed from the previous policy.
  • Leaves for each employee will be calculated based on the enrollment start date. 
  • You can also mark a policy as default, so whenever any new employee is added to the company directory - she is enrolled into the default policy automatically.

  • You may have offices at different locations worldwide, it's obvious to have multiple leave policies according to the location. You can add multiple leave policies in the system and and then apply them to employees of respective location.
