Workflows for self & manager (previously, performance) review base template (Before v3.9.5)

Workflows are useful in controlling the flow & status transitions of the distributed templates. They allow you to manage how the distributed template will move forward in the review process.
Below listed are types of workflows for this template:
- Team member assessment followed by reviewer
- Team member and reviewer in parallel
Team member assessment followed by reviewer
Refer following steps to understand the workflow
- The template will be distributed by Employee Success admin or super admin. Reviewer and team member will receive an email notification about the review form distribution.
- Firstly, the team member will do self-assessment and share that with the reviewer. If needed, he can save it as the draft and share it later.
- The reviewer will receive an email notification that form has been shared by his team member and that now it is his turn to respond to his side of questions. He can add his responses, save as the draft and share it later.
- The team member will receive an email notification that his/her reviewer has shared the form with responses and the questionnaire is ready to be signed off. Here, both the team member and reviewer should sit together and discuss their respective responses.
- Now the team member has to sign-off the form first and the reviewer will receive an email notification that form has been signed off by Team member and now he is supposed to sign it off.
- When the reviewer is signing off, if there are any questions under 'reviewer remarks' - they will have to be responded to by the reviewer. Once signed off, this part of the form will not be shared with team member and it will remain only between HR person and reviewer.
If need occurs, HR person may reopen the form. Once reopened, the same flow & status transitions will continue from the beginning.
- Finally HR person will have the opportunity to add his own remarks (if required) & close the form.
- It is not necessary to add questions in reviewers remarks tab while creating a template. If reviewers remarks are not the part of your review process, simply avoid adding questions in this tab while creating a template and form will directly go to HR remarks stage.
- Also the HR remarks section is not mandatory. If you do not follow the pattern of getting remarks from HR person, simply avoid adding questions in HR remarks tab while creating a template and form will be received by HR person (who distributed the form) to perform a complete action of the review process
As per the steps explained in above section, distributed template will move from one status to another according to the actions taken by team member & reviewer. These statuses will help you understand how far the progress has been made by users till date.
Different statuses used In this workflow
- Import objectives: When objective import is applicable and reviewer has not imported objectives in the form.
- Not started: Once the form is distributed and no action is taken by a team member.
- Team member - In progress: When team member starts self-assessment and saves the form as a draft.
- Team member - Shared: When team member is done with self-assessment and shares form with reviewer.
- Reviewer - In progress: When reviewer starts reviewing form shared by team member and saves as a draft.
- Reviewer - Shared: When reviewer completes his review and shares with team member.
- Team member - Signed off: When team member agrees upon responses given by reviewer and signs off the form.
- Reviewer - Signed off: When reviewer also agrees with responses given by team member, adds his/her remarks in reviewers remarks section and shares with HR person and signs off the form.
- Complete: When Form is finally reached to HR person (Who had distributed form), he gives HR Remarks and clicks on Complete option.
- Reopened: When HR person reopens form for some reason.
Team member and reviewer in parallel
In this workflow, both the parties, i.e. team member & reviewer can answer their questions in parallel. This is helpful when you want the team member & manager to respond to the questions independently. Whereas in first workflow team member has to complete his part and then the only reviewer can answer his questions.

Different statuses used In this Workflow
- Import objectives: When objective import is applicable and reviewer has not imported objectives in the form.

Team member started: When only the team member has saved a draft.
Reviewer started: When only the reviewer has saved a draft.
Team member & reviewer started: When both, team member & reviewer have saved drafts.
Reviewer submitted: When only the reviewer has submitted/shared responses.
Team member submitted: When only the team member has submitted/shared responses.
Team member & reviewer shared: When both, team member & reviewer have submitted/shared responses.
Team member - Signed off: When team member agrees upon responses given by reviewer and signs off the form.
Reviewer - Signed off: When reviewer also agrees with responses given by team member, adds his/her remarks in reviewers remarks section and shares with HR person and signs off the form.
Complete: HR person (Who had distributed that form) adds HR remarks and clicks on complete option.
Reopened: When the form is reopened for whatever reasons.
Responses of both parties will be visible to each other only when both of them have shared.
