General settings - UpRaise access
Background
There might be a requirement to restrict UpRaise from Jira users for many reasons and allow its access to only a few Jira users. There could be multiple reasons for doing this. A few that we have come across frequently are -
Outsiders (non-employees) have access to Jira & companies do not want them to be able to access UpRaise.
Another use case for having restricted access is when organisation wants to roll out UpRaise gradually.
Organisations want to allow or restrict UpRaise access to specific Jira group/s.
UpRaise access can be configured through the Settings ( ) from left navigation >> General settings tab. There are three possible options. Only one can be selected at a time.
All users
User based access
Jira group based access
By default, UpRaise access will be set to User based access, where only Jira admin/s and selected users by Jira admin (while onboarding UpRaise) will have access to UpRaise.
All users
When this option is selected, every active user on your Jira instance will be able to access UpRaise. All users except admin/super admin will be assigned with User UpRaise role, which can be later changed to admin/super admin or any other custom UpRaise role if needed.
User based access
Selecting this access type means opting to for access levels on a per user basis. When turning to this option, all existing users in the Company directory will be set to No access except existing UpRaise admin/super admin. Then UpRaise admin/s will need to make use of edit option in each user role to change user's role from No access to user/admin/super admin/any available custom UpRaise role (refer Images below) & update. Or it is also possible to to bulk edit users in such a case. In this way, each user's UpRaise role is dictated at the user level.
This option is typically useful when the number of users in company are not beyond say 50-80. After that, it becomes difficult to manage UpRaise access on a per user basis.
e.g. In the below snap as user based access option is selected, all users except admin/super admin are marked with No access.
Note that the users with No access UpRaise role cannot see even the top UpRaise menu & also they cannot be selected anywhere in continuous feedback, OKRs or review forms.
Jira group-based access
This setting is the easiest way for companies with >500 users in Jira. It will let you control UpRaise access based on Jira group/s that user belongs to.
Let us say an organization has Jira groups such as developers, project managers, leads etc. This option allows UpRaise admins/super admins to configure the set up by Granting or Denying access through Jira groups. This access type allows to control UpRaise access & to limit it to explicitly selected groups.
Grant access
If the Grant access is selected, that means users from the selected group/s will have access and users from other Jira group/s will not be able to access UpRaise.
Deny access
When Deny access is selected, that means users from the selected group/s will not have access to UpRaise but rest of the Jira group users can access UpRaise.
When using Group based access, one cannot grant or revoke access at individual level. e.g. if a user is assigned No access role because they belong to the group that is Denied access, then only way to give them access is to a) change group access setting or b) change that user’s group which is Granted access to UpRaise.
