Create, Approve, Cancel, Reject leave requests
Create
Navigate to leaves page from left navigation. Click on Request Leave. This opens Request leaves pop-up. Below fields are available on the pop-up.
Request for - In this field by default logged-in user’s name is displayed. If logged-in user has permission to create leave request for others they can search for a different name and create a request.
Leave type - Select the leave type from the dropdown.. These leaves types are displayed based on the policy applicable for the user selected in Request for field.
From and to dates - Select dates based on the duration of the leaves
All full days (checkbox) - If this check box is checked, the days selected in from and to are considered as full day leaves. If unchecked, selected dates are displayed and one can select whether they will take half day leave in first/second half of the days
Approver - User who is supposed to approve leaves. By default requestor’s manager is selected as Approver. If no manager assigned in company directory then one of the Admins will be added to this field.
Reason - Reason of the leave request. This could be a mandatory/optional field based on configurations done by UpRaise admin
Add attachments - Add attachments to support leave request.
Visbility - Here define who can view the leave request. This way one can keep relevant users informed about their leave plans. Read Default settings for leave request visibility.
Create past dated leave request
If needed, one can create a past dated leave request. Clicking on Request leaves option would give you the same pop-up (as explained above). Add relevant data to all attributes. It's just that you add some past dates and record leaves you have already taken.
Once done with adding appropriate information, click on submit. The system asks for confirmation as you are creating a request for past date.
Once confirmed, approver is informed via email but no approval will be required from the approver in such case. Added leaves are automatically marked as availed. Non-admin users can add past-dated leaves only for themselves, whereas admin/super admin can create such leaves for any UpRaise user.
Note
While creating past dated leave request, leave dates - from & to both should fall on or after the enrollment start date in requestor’s current leave policy, current holiday scheme & current workweek scheme.
Example - if I add a leave from 1st Jan to 5th Jan (today is 5th March) - I should only be able to add the leave if from 1st to 5th Jan I belonged to my currently active policy & schemes.
Who can create a leave request for whom?
Leave request option is available for all admins and non-admin users in the leaves section. However, there are a few default permissions set in the system.
Any non-admin user can add leave only for themselves by defualt
They can create leaves for others only if they have been given relevant permissions
Admin/super admin can add leave for anyone.
Approve / Cancel / Reject
Whenever a user creates a leave request, it has to be approved, rejected, or canceled by the approver. The approver is the manager of user who has created a leave request. If there is no manager assigned to the user, the system by default selects a random admin or super admin as an approver for that leave request.
Click on Leaves in left navigation.
Click on Leaves tab.
By default, system shows your leave requests as a logged-in user (as shown in the image above, Annu is the logged-in user here and the filter request is applied already). If you remove your name from the name field system shows the list of all leave requests where you are an approver. You can also hand-pick names of your direct reports to see a specific leave request, select your name under the Approver field.
Click on Details for relevant leave request entry and take the relevant action depending on the status of the leave request.
Applied: Cancel, reject, or approve the request.
Approved: Cancel or reject the request.
Availed: Cancel the request.
Rejected: Approve the request.
Canceled: No action needed as it is a canceled request.
Availed past dated - No action needed
Avalied without approval - No action needed
Whatever action you have taken on different requests, impacts the leave balances of the applicant users & leaves get credited or debited accordingly.
