Rules

Introduction

Rules enable you to automate the distribution of forms effectively. Essentially, a rule consists of a combination of a 'User Group' and an 'Actions,' linked by a 'Trigger.' Each rule can currently be defined with 2 actions and a trigger. In UpRaise, you can create multiple rules to schedule the distribution of the same or different form templates to various user groups.

  • Trigger - The Icon in the Trigger column shows whether the trigger is ‘Manual' or ‘Scheduled at interval’

    • In the above image, the trigger of the first rule is 'Manual', and the second rule’s trigger is 'Schedule at an interval'. The latter one gets executed automatically at a set schedule.

  • Name - Name of the Rule

  • Enabled - This shows whether the rule is enabled or disabled. If disabled, automation will stop.

Step -1 Create Rule

  • Click on 'Create' (Refer to the above image)

  • On the 'Create Rule' page, add below fields

    • Name - Rule name

    • Enabled/Disabled - (toggle the relevant option)

Step -2 Select trigger

There are three types of triggers available at the moment

  • Manual - If you want to manually run the rule

  • Scheduled at an interval - Form distribution can be automated at a scheduled interval. Below are the fields for the schedule at the interval trigger.

    • Frequency - Select the frequency of the form distribution.

      • Monthly - This will distribute the form every month based on the below settings

        • Run every - Specify the number of month/s the form should be distributed. Eg. 1 for distributing form every month.

      • Weekly

      • Daily

  • Profile attribute change
    The rule triggers if any selected profile attribute changes for users in the segment specified in the pre-condition.

    • Example: If the selected profile attribute is employment status, the rule gets triggered whenever the employment status of users in the specified segment changes, leading to the execution of the rule and its subsequent actions.

  • Start date, Time, and Time Zone - Select the start date, time to start the automation from. The timezone remains the default to what timezone you have selected in UpRaise Date & Time settings.

  • Until - Define the number of occurrences of the form distribution.

  • Check Rules | Step 3 in above section for notification-related fields that are the same as Manual trigger settings.

Step -3 - Other rule configurations

  • Notify on success/failure - Use this setting to ensure relevant users are informed about the success/failure of the rule. Choose one of the following relevant options

    • Notify only when the rule fails to execute

    • Notify for every rule execution

    • Do not notify

  • Select users - Select relevant users so they can be notified of the success/failure of the rule.

  • Click on Save & Next.

Pre-condition

Once the rule is saved, the next part is to add a pre-condition that allows you to select users. This pre-condition is to define to whom this form will be distributed. You can select the relevant segments to select an accurate group of users & Save.
