Confidential review template workflows

Introduction

Confidential review base template is used when someone needs to be reviewed without their knowledge. Typical use cases include probation assessment, peer assessment, and performance review where only manager adds responses for the team member.

Workflows

There are two types of workflows for confidential review base templates -

  • Assign to UpRaise admin

  • Assign to reviewer's manager

  • Assign to UpRaise Admin - shared with Team Member

Assign to UpRaise admin

In this workflow, team members are not acknowledged that a review is being conducted for them. Reviewer submits the form it is assigned back to the form distributor.

Steps to understand the workflow

  • Template is distributed by UpRaise admins or user with sufficient permissions.

  • Reviewer gets an email notification that the form is assigned to them.

  • If needed, reviewer can save the draft of the responses, in that case following status is applicable.

  • Once the reviewer has submitted their responses, form is marked as Complete & is assigned to the form distributor.

  • UpRaise admin/user who distributed the form receives the notification that the reviewer has completed the form.

Form statuses involved according to this workflow

  • Not Started - Once the form is distributed and no action is yet taken by the reviewer.

  • In Progress - When the reviewer has saved responses as a draft.

  • Complete - When the reviewer is done with his responses and clicks on complete option.

  • Reopened -  When admin//user who distributed the form.

Assign to reviewer's manager

In this workflow, team member is not acknowledged that a review is being conducted for them. Reviewer submits the form it is assigned to reviewer’s manager for approval. Based on manager’s action form is executed further, below are the details.

Steps to understand the workflow

  • Template is distributed by UpRaise admins or user with sufficient permissions. Reviewer will get an email notification that the form is assigned to them.

  • If needed, reviewer can save the draft of the responses, that case following status is applicable.

  • Once the reviewer has submitted their responses, form is assigned reviewer’s manager with following status. This workflow allows reviewer’s manager to review and approve/reopen the form.

  • Based on the manager’s action, following statuses are applicable.

  • If reviewer’s manager approves the review & form is assigned back to distributor.

  • If reviewer’s manager reopens the form for some reason & form is assigned back to reviewer and workflow will be executed from the beginning with Reopened status.

Form statuses involved according to this workflow

  • Not Started - Once the form is distributed and no action is taken by the reviewer.

  • In Progress - When the reviewer has saved responses as a draft.

  • Pending Approval - When reviewer has responded and shared form with his/her manager.

  • Reopened - When the manager receives form that is responded by reviewer and manager reopens that form for some reason.

  • Completed - When the reviewer's manager is done with reviewing form and clicks on complete option.
